Project Kickoff Meeting: Your Most Important Tool for Success

A project kickoff conference is more than just a friendly get-together. This is the first, and most important opportunity to set expectations for the entire project team. It is the essential tool to start a project with the whole team invested and contributing to the project's success from the start.

After many years of managing learning and development projects, we have developed a proven program to achieve this. This simple yet robust start meeting process and plan ensure that everyone is engaged, understands the project's goals, scope, and risks, and actively takes ownership of their role.

A single kickoff meeting, however, is not enough. We know from experience that you can't just show up, even if you have a proven program. A successful L&D project launch requires planning, best accomplished with pre-launch meetings and a rock star project manager.  techandbusinessnews

The following is our two-step launch process and Kick-A** project launch schedule.

Agenda of the project kickoff meeting.png

Step 1: Hold two pre-launch meetings

Yes, two!

We always hold two pre-launch meetings: one with the client's sponsor or project manager and one with our internal team.

The objective of the meeting with the client's project leader is threefold:

Review the schedule and customize it, if needed

Align with specific kickoff meeting objectives

Discover any potential obstacles or circumstances that could interfere with achieving kickoff meeting objectives and discuss mitigation techniques

Immediately after meeting the client, we send the plan to all attendees, so they know what to expect and can plan accordingly.

Just as important as the client's pre-launch meeting is our internal team's pre-launch meeting. During this meeting, we walk through the kickoff plan to make sure everyone on our team understands the scope of the project and their role before showing up for the client kickoff meeting.  charismaticthings
